The Stories of Experience
Meeting Details Weathers the Storm
An unusual 20 inch snow trapped 85 conference attendees at a Research Triangle Park hotel. About 18 others were several blocks away in a hotel without a restaurant. Meeting Details commandeered a snowplow and driver who delivered food for conference guests at second site. Working with the available client training and hotel staff, guests received a modified program, ate well and enjoyed evening entertainment.
Managing Events, Soup to Nuts
Client wished to host 100 events in a southern state over a six month period. Meeting Details identified community venues for each event and chose the caterer. Meeting Details also coordinated invitations with mail house to hundreds of thousands, arranged for local community leaders to open the program and worked on-site to set-up each event, welcomed and registered guests and ensured the smooth running of each two-hour program.
Ready to Assist
A National Guard Family Unit was charged with hosting a Family Readiness Conference. The unit captain contacted Meeting Details for basic ideas, advance planning, on-site assistance and the planning implementation of spousal and children’s programs.
Hosting a "Berry" Successful Event
A small but growing Chamber of Commerce wanted to provide the community with an event. Meeting Details suggested and implemented a “Strawberry Festival.” In the first year there were 57 exhibitors, 15 entertainers, and a Classic Car Show. Meeting Details was responsible for soliciting sponsors which included both large and small businesses and the county convention and visitors bureau. Meeting Details handled all backroom and on-site management.
Better Events, Enhanced Membership
An association of adults with developmental disabilities enjoyed the same state employed planner for 13 years. Everyone assumed she would “do everything.” Then one day because of budget cuts she wasn’t there. Meeting Details was asked to step in. The firm addressed the group as if it were an association management client. We reviewed their budget, and recommended new registration fees to make their annual event profitable. Meeting Details also coordinated the event’s speakers, entertainment, meal functions, exhibitors and volunteers. The most important result for this 40-member group, we added an annual membership fee to the registration and increased their membership to 1,000. The larger number of members gave them more clout when speaking to legislators.
One Call and Meeting Details Did it All!
A state bank needed to host a small meeting of 15 managers and the date was at hand when someone realized they had not contracted a meeting space. They tried on their own without any success because they didn’t know all the right questions to ask. The Small Business Services unit called Meeting Details with their problem. Several experienced phone calls later, the group had a meeting space in the city they wanted and at a cost less than they expected to pay. It was a win-win!
